1. Who we are
GuardsDesk ("we", "us") makes software for security companies: the GuardsDesk dashboard, the GuardsDesk app for iPhone and Android, the client portal and this website (together, the "Service").
GuardsDesk is a business name of GuardsDesk Pty Ltd, ABN 80 702 822 982, ACN 702 822 982.
This policy explains what personal information we collect, why we collect it and the choices you have.
2. Our role
When a security company uses GuardsDesk, that company decides what information about its staff, guards, clients and sites goes into its account. For that information the company is the controller and we are the processor: we only use it to provide the Service to the company and as the company instructs.
If you are a guard or a client of a security company and have a question about your information, please contact that company first. We will help them respond.
For information we collect for our own purposes, such as website visits, sign-ups and billing, we are the controller.
3. Information we collect
Information you give us:
- Account details: name, email address, mobile number, company name and country.
- Billing details: billing contact and address. Card payments are handled by our payment provider; we don't store full card numbers.
- Messages you send us, such as support requests.
Information a security company adds to its account, for example:
- Staff and guard details: names, contact details, photos, licences, documents, training and pay rates.
- Schedules, timesheets, patrols, reports, photos, messages and invoices.
- Client and site details: names, addresses and portal users.
Information collected when the Service is used:
- Location from the GuardsDesk app, only while a guard is clocked in. It shows the guard on the live map, confirms clock-ins and records patrols.
- Device and usage details: device type, app version, IP address, pages used and error reports.
4. How we use information
- To provide, run and support the Service.
- To create and secure accounts, including sending sign-in codes.
- To send service messages, such as alerts, reminders, receipts and changes to the Service.
- To bill for the Service.
- To find and fix problems, and to improve the Service.
- To prevent fraud and misuse, and to meet legal obligations.
We don't sell personal information, and we don't use the information in a company's account for advertising.
5. Legal bases
Where the law requires a legal basis (for example in the European Economic Area and the United Kingdom), we rely on: performing our contract with you; our legitimate interests in running and improving the Service securely; your consent, which you can withdraw at any time; and meeting legal obligations.
7. International transfers
GuardsDesk is used around the world, so information may be stored and processed in countries other than yours. When we transfer information, we protect it as required by law, for example with standard contractual clauses.
8. How long we keep information
We keep a company's information while its account is open, except the photos and videos added to reports and other daily records, which are deleted after 7 years. When a company closes its account, we delete its information within 90 days, unless we must keep some of it by law, such as billing records.
Security companies can delete individual records, such as a guard who has left, at any time.
9. Security
We protect information with encryption in transit and at rest, access controls and regular backups. No system is perfectly secure, but we work to protect your information and will tell affected customers without undue delay if a breach affects their data.
10. Your rights
Depending on where you live, you may have the right to access, correct, delete or get a copy of your personal information, to object to or limit how we use it, and to complain to your local data protection authority.
To use these rights, email app@guardsdesk.com. If your information is in a security company's account, we'll pass your request to that company.
12. Children
The Service is for businesses and isn't meant for children under 16.
13. Changes to this policy
We may update this policy. If the changes are significant, we'll tell account owners by email before they take effect. The date at the top shows when it was last updated.
14. Contact us
For questions about this policy or your information, email app@guardsdesk.com.
