Terms of Service
Last updated 19 October 2026
1. Agreement
These terms are an agreement between GuardsDesk ("we", "us") and the company or person that signs up for GuardsDesk ("you"). They cover the GuardsDesk dashboard, GuardsDesk app, client portal and website (the "Service").
GuardsDesk is a business name of GuardsDesk Pty Ltd, ABN 80 702 822 982, ACN 702 822 982.
By creating an account or using the Service, you agree to these terms. If you sign up for a company, you confirm you're allowed to accept them for that company.
2. Your account
You're responsible for your account and for everyone you invite to it, including office staff, guards and client portal users. Keep sign-in details private and tell us straight away if you think someone has used your account without permission.
3. Free trial
New accounts get a 30-day free trial with every feature. No credit card is required to start. At the end of the trial, add a payment method to keep using the Service. If you don't, the account is paused and you can export your data for 30 days. After that, we delete it.
In the month the trial ends, only guards who clock in after the trial count as active guards.
4. Fees and billing
The Service costs $10 per active guard per month, in US dollars. An active guard is a guard who clocks in at least once in the calendar month, with or without a shift. Office staff and client portal users are free.
You're billed monthly in arrears for the active guards in the month just ended. Prices include any sales tax, VAT or GST we must charge. Where the reverse charge applies, our invoices say so.
We may change prices with at least 30 days' notice by email. Changes apply from your next billing month.
If a payment fails, we'll let you know and try again. If it's still not paid after 14 days, we may pause the account until it's paid.
5. Your data
You own the data you and your users put into the Service. You give us permission to store and process it only to provide and support the Service. How we handle personal information is explained in our Privacy Policy.
You're responsible for having the right to add the data, including telling your guards that the GuardsDesk app records their location while they're clocked in.
You can export your timesheets, activity and invoices at any time.
6. Acceptable use
Don't use the Service to:
- Break the law or anyone's rights.
- Track people without their knowledge or outside their working hours.
- Upload viruses or harmful code.
- Try to get into accounts or systems you're not allowed to use.
- Copy, resell or reverse engineer the Service.
We may suspend accounts that break these rules.
7. Alerts and safety
Alerts, SOS, fall detection and the live map help you respond to what happens on site, but they depend on phones, networks and GPS that can fail. The Service is not an emergency service. Guards and staff must always call the local emergency number in an emergency.
8. Changes and availability
We work to keep the Service available and improve it over time. We may add, change or remove features. If we remove a major feature you use, we'll tell you in advance.
The Service may occasionally be unavailable for maintenance or reasons beyond our control.
9. Cancelling
You can cancel at any time in Settings › Subscription. The account stays open until the end of the month, and you're billed for that month's active guards. There are no cancellation fees.
When the account closes, you can export your data for 30 days. After that, we delete it as explained in our Privacy Policy.
We may close an account that seriously or repeatedly breaks these terms.
10. Disclaimers
Except as these terms say, the Service is provided "as is". To the extent the law allows, we don't promise that it will be error-free or uninterrupted. Some countries don't allow these exclusions, so they may not apply to you.
11. Limitation of liability
To the extent the law allows, neither of us is liable for indirect or consequential losses, or for lost profits, revenue or data. Our total liability for any claim is limited to the fees you paid us in the 12 months before the claim.
Nothing in these terms limits liability that can't be limited by law, or your rights under consumer laws that apply to you.
12. Changes to these terms
We may update these terms. If the changes are significant, we'll tell account owners by email at least 30 days before they take effect. Using the Service after that means you accept the new terms.
